Legal

Privacy policy.

How Seudocom handles personal information on this website and during recruitment.

Draft: this policy needs legal review before launch. Items in [square brackets] must be confirmed.

Effective date: [date to be confirmed]

Who we are

This website is operated by [Seudocom's full legal name and registered address]. Contact us about this policy at contact@seudocom.org.

Information we collect

When you apply: your name, email address, phone number, mailing address, city and state, nationality, the position you are applying for, your experience, your cover letter if you provide one, and your resume.

When you complete an assessment: the Google Drive links you submit and the work and video recordings those links open. Recordings show your face and voice.

Before an interview: your signed, notarized affidavit, including your name, signature, your statements about work eligibility, age and criminal record, and the notary's details.

From your use of the site: a session cookie, and limited technical information described below.

How we use your information

We use it to review your application and assessment, to show your status on your applicant dashboard, to contact you and send updates about your application, to protect the site against misuse, and to meet legal obligations. Seudocom staff review applications. We do not use automated systems to make hiring decisions.

We collect nationality for the following purpose: [purpose to be confirmed after legal review].

Your access code

You receive a unique access code when you apply. We store only a scrambled version, so we cannot retrieve or resend it. Keep it private, because anyone who has it can view your status and the name on your application. If you lose it, contact us. We will confirm your identity before issuing a new one, and the old code will stop working.

Emails

We may email you updates about your application. Your access code is not included in these emails, and we will never ask you to send it to us by email.

Cookies and technical information

We use one cookie, seudocom_sid, to keep you signed in to your dashboard. It is needed for that feature to work. We do not use advertising or analytics cookies.

To limit repeated failed attempts and misuse, we keep a scrambled form of your IP address with the time of certain actions, and delete it after about 24 hours. Our hosting provider may also keep standard server logs: [provider and log retention to be confirmed].

Who we share information with

We do not sell your personal information. We share it only as needed with:

  • Our service providers, including our website host and email provider: [names to be confirmed].
  • Notarization partners, only if you choose to contact one. We do not send them your information, and their own privacy terms apply.
  • Google, which loads this site's fonts and so receives your IP address and browser details when you visit. Your assessment files are also stored in your own Google Drive under Google's terms.
  • Authorities or advisers, when the law requires it or when needed to protect legal rights.

Your Google Drive files

You control the files in your Google Drive. Your links must allow Seudocom to view them, and a link set to "anyone with the link" can be opened by anyone who obtains it. Share only what the assessment asks for. You can change the sharing setting once the recruitment process has finished. Doing so earlier may prevent us from reviewing your work.

How long we keep information

We keep application records, resumes and affidavits for [retention period to be confirmed], then delete them, unless the law requires us to keep them longer. You can ask us to delete your information sooner, although we may need to keep some records to meet legal obligations.

How we protect information

Resumes, affidavits and application records are kept outside the public part of the website, and the admin console requires a password. No system is completely secure, so we cannot guarantee absolute security.

Your choices and rights

You can ask us to access, correct or delete your personal information, or withdraw your application, by emailing contact@seudocom.org. Depending on where you live, you may have additional rights under local law. We will verify your identity before acting on a request and will not treat you unfairly for making one.

Where information is stored

Our website is hosted in [country to be confirmed]. If you apply from another country, your information will be transferred there, and the privacy laws there may differ from those where you live.

Children

This website is not directed at children, and our positions are for people of legal working age. If you believe a child has given us personal information, please contact us so we can delete it.

Changes to this policy

We may update this policy. We will post the new version on this page and change the effective date.
